They currently have a requirement for a skilled, flexible office administrator on a 1 year contract to cover maternity leave.

A privately owned print production company with full in-house facilities specialising in large, wide and super-wide format graphics they use the very latest digital printing technology to fuel their already impressive and growing client list.

With over 40 years of experience it is no wonder that this combines to drive the world’s largest brands and agencies to their door commissioning and re-commissioning their services for the development, production and installation of multi award winning branded materials for world-class events, music festivals, entertainment, sport, outdoor advertising, television and film production, exhibition and retail markets.

Duties

Answer all incoming calls (NORSTAR telephone system); directing where appropriate; paging personnel within the premises.

Managing stock control of office consumables, including ordering office stationery.

Organising necessary couriers, bikes and overnight carriers for outgoing orders.

Greeting visitors in a polite and friendly manner; offering and making refreshments and informing appropriate staff of their arrival.

Assisting with orders of supplies from approved suppliers when asked by a Director or Line Manager.

Assisting with any ad hoc administration and accounting duties: processing of purchase invoices

and credit card expenses, etc.; credit control; BACS runs and other general accountancy duties.

Monthly and yearly health and safety checks.

Additionally, further responsibilities will include support to the Sales Team:

Assisting with specific projects: liaising with clients, suppliers and the in-house Production Team regarding the tracking of artworks to be submitted and proofing approvals for live projects; organising schedules and dealing with any associated changes to project specifications; arranging for deliveries of completed works.

Keeping the Sales Manager informed of all sales/ production related issues and in the absence of the Sales Manager monitor emails/ telephone and respond to clients providing assistance and information as required.

Responding to ad-hoc requests in support of the Sales and Production teams; liaising with Sales/ Production/ clients and suppliers.

Amending of draft Health and Safety documentation for approval, providing copies to all required parties; submission of these documents to clients in a timely manner.

Obtaining courier prices; booking couriers; booking of hotel requests as required for installations/ deliveries; booking in vehicle and crew to event sites as required.
