What being a Receptionist/Transport Administrator at DS Smith will involve…

 

Receptionist duties:

  • Answering and fielding telephone calls within 3 rings, taking messages and ensuring that messages are received by DS Smith contacts
  • Answering main door buzzer 
  • Opening and distributing post.  Processing requests and answering emails in a timely fashion
  • Booking restaurants, taxis, flights etc. for clients and colleagues.  Making coffees and ensuring other refreshments are available for client or group meetings
  • Tidying meeting rooms, keeping boardroom fridge stocked, clearing away cups, etc.  Check kitchen areas daily, ensuring general supplies are replenished and surfaces are clean and tidy
  • Completing delivery notes and assisting with putting items on the internal van to Aylesford site 
  • Liaising with housekeeping suppliers such as cleaners and office maintenance company for plumbing and general office upkeep.  Ensuring office is presentable and tidy
  • Booking couriers throughout the day, including completion of all relevant documentation/labelling/packaging
  • Monitoring levels of paper throughout the building, replenishing and ordering as necessary

    General Administrative duties:

  • Completing daily server back-up
  • Doing weekly online Sainsbury’s shop and unpacking
  • Ordering stationery using SAP system, binding documents, assisting with presentation prep
  • Distributing payslips
  • Updating telephone lists and floor plans
  • Replacing and ordering printer cartridges
  • Approving purchase orders on SAP system as required
  • General admin assistance to account teams at peak times, or for special projects as required
  • Ensuring basement is kept in an orderly state

    Team and Company Relationships:

  • Reports to Creative Services Manager
  • Interacts directly with Design Studio, Production Site, Account Teams and Accounts Department
  • Communicates directly with clients on the telephone and in preparation for on-site meetings
  • Communicates directly with suppliers on the telephone and with invoicing queries

  • Good understanding of Microsoft Office – Word, Excel, Adobe and PowerPoint
  • Good communication skills, self-starter, confident, polite and helpful
  • Professional attitude
  • Excellent attention to detail and ability to work to deadlines is essential
