Hours of Work: 9:00am till 5:30pm, Monday to Friday

Our client are specialists in manufacturing and printed folded cartons to a variety of markets, they are a very well invested factory with the very latest technology and machinery and a fantastic reputation in the industry.

Our client is looking to recruit an Internal Sales / Production Coordinator to support the Key Account Managers and Production Director.

This is a coordinating role encompassing the elements of both Internal Sales Liaison with the Customer AND Production. The aim is to ensure that Customer requirements are met by the company specifically related to delivery times and quality and accuracy of specification. Ability to follow all necessary systems and procedures that are relative to the job and Department within the company's procedures Health & Safety, Food & Hygiene, Environment, ISO 9000, BRC Standards or any relevant procedure.

Responsibilities / Requirements:

  • To support the Key Accounts Managers to ensure their customers receive the 'best service'. This may include trips to customers factories in the company of the Key Account Manager or attending meetings internally
  • To Liaise with customers both in person and by telephone and other internal departments i.e. Production Administration Department
  • Requesting and obtaining price information form the Estimating Department and confirming prices to Customers
  • Requesting samples / mock ups from the Design Centre
  • Processing of orders and raiding orders on the systems and progress chasing of orders
  • Inputting of 'call offs' and negotiating deliver date with the customer to achieve best efficiencies in the factory
  • Supplying customers with all information needed i.e. stock sheets
  • Chasing the customers to take stock that's overdue and arranging for the stock to be delivered or invoiced
  • Liaising with the Key Accounts Manager on overdue accounts
  • To work with the planner to ensure a suitable production slot has been arranged for the order, if any of the requirements cannot be met then it's essential that this is liaised back to the Key Account Manager with solution options
  • Responsibility for following the production chain to ensure that the planned timings, quality and accuracy of specification are achieved
  • Raising works instruction documentation in line with the procedures of the Department as set out in the ISO system
  • Responsibility for checking that the Company is in position of approvals for colour, text and construction prior to production, and ensuring that these approvals are available to production
  • During the print 'make-ready' the Key Account Administrator will be expected to take responsibility for text checking their own clients pass sheets when during the office working hours and also checking a colleagues pass sheets for text in their absence
  • To take ultimate responsibility for the clients orders from raising / processing the order to despatch with the support of the Quality Manager for monitoring the quality of product through the process
  • To arrange any out work with the nominated supplier and within the pricing structures agreed between the companies
  • To coordinate delivery if any materials or services ordered specifically for the production
  • Ensure that good communication exists between all involved parties thus enabling targets to be achieved
  • Adhere to safe working practices operators with the department in line with Health & Safety regulations / policies
  • Undertake training and development when required

Please note - You may also be required to undertake other duties as required by Management, but the responsibilities shall not exceed the level of those outlined above

Personal Specification (Essential):

  • Good standard of education
  • Customer service background, good telephone manner, as dealing with customers on the phone and in person and good all round administrator
  • Computer Literate with knowledge of Microsoft Word, Excel and databases
  • Able to work well under pressure, with proven efficiency and ability to work to production deadlines
  • Flexible, able to adapt to the organisation and its customers changing needs
  • Effective communicator, able to work with people at all levels of ability and from different cultures and backgrounds
  • Ability to work well as part of a team
  • Commitment to equal opportunities

Personal Specification (Desirable):

  • Knowledge of the carton print packaging industry
  • Willingness to work outside normal working hours
  • Outgoing and cheerful personality
  • Own transport / Full Driving Licence
